In brief
Choose a workflow with a defined input, owner and success criteria.

List recurring tasks and the manual effort they require. Frequent, well-structured data copying or notifications can be good candidates if exceptions can also be defined.
An infrequent workflow requiring uncertain decisions may need more oversight. Keep the first trial small and easy to reverse.
Data and access
Define which system is the authoritative data source and which permissions are needed. The integration should access only the data and actions required for its task.
Plan for missing, invalid and repeated data. Repeating an order or event must not accidentally create another business operation.
Errors and human review
A network failure and a business-rule rejection are different. Distinguish when a task can be retried from when a person must decide. Logs should identify the affected record and final outcome.
For AI-generated suggestions, document who approves the result and how. Uncertain output should not automatically replace an important business decision.
Pilot and evaluation
Measure manual time, errors and follow-up corrections before and after the trial. The number of successful runs alone does not show the real savings.
After the trial, document the owner, how to stop the automation and a manual workaround. Working automation must also be maintainable.
- Input: where does the data come from, and who can access it?
- Error handling: what happens if data is missing or a workflow is interrupted?
- Verification: how will you know the workflow has actually finished?
